Scout Troop 187 Committee Meeting

January 3, 2001

Present: Dick Shaffer, Reid Cornwell, Bill Marvin, Tom Koch, Charlie Simpson, Jerry Rawles, Ev Thomas, Robyn Cornwell

Ev Thomas called the meeting to order at 7:00 p.m.

Approval of 12/6/00 minutes. Motion, seconded, approved.

A. Scoutmaster’s Report: Dick Shaffer

Christmas Party: The second annual Christmas party, December 18th, was a great success. Dick recommends that it be done again next year.

a. Gene Dayton from the Nordic Center presented passes to those scouts and adults who helped with trail work in the fall

b. Polar Bear patches were awarded to scouts and adults attending the Air Force Academy weekend in November

c. 2nd Annual Boy Scout Trivia contest was received well by scouts

d. Lee Edwards presented a continuous slideshow documenting various events during the summer and fall

John Wood: (24 year old from Michigan, wants to help troop)

a. Currently employed as a mechanic- pipefitter

Needs to do some community service

Committee recommends non-boy contact until more is known about him. Maybe he could help with trailer shelves, washing and waxing trailer

Josh Mirto: New Eagle Scout.

a. Not currently registered as a scout as he is 18. Dick recommends that he be an assistant scoutmaster. He needs to fill out an adult leader

application and could be in charge of the New Boy patrol.

b. Committee had some concerns around training and felt that that training should take place prior to adult leadership.

c. Dick has his Eagle certificate and card. The Committee felt that it should be framed for him. The Committee also agreed that the troop should buy each boy that earns the Eagle Rank, an Eagle Packet and a $50.00 savings bond. A Court of Honor needs to planned (flag ceremony, speaker, and reception) and Charlie Simpson agreed to assist in the planning due significant experience with such events.

Boreas Pass Hike:

a. 8 boys and 3 adults (18 year old Eagle Scout included) attended. Six of

the boys were Life Scouts. Three boys were on cross country skis and

remaining were on snowshoes. Skiers were much faster than

those on snowshoes.

Temperature was approximately -10° with winds gusting up to 60 mph.

Boys had a good time. They cooked dinner and breakfast in the hut and had two meals on the trail.

Minor disaster occurred. Two boys got behind. Leaders went ahead and boys arrived at the hut approximately 1½ hours behind others. Josh Mirto was one of these boys and should be commended for staying with the other boy until reaching the hut.

Much was learned:

On all future hikes, there will be an adult in the front and one at the rear. "The troop will proceed as quickly as its slowest member" philosophy.

Arduous hike, greater than anticipated, all water froze about halfway so last of hike finished without water.

Weather was very windy and cold. Adult leaders need to do a risk analysis (first aid kit, emergency kit, etc.)

Purchase the Hut Handbook @ $12.95 and add to library.

Physical preparation- conditioning, mountaineering training.

Do backpack checks for non-essential items.

Increase number of backpacking trips to increase knowledge and experience.

Purchase or borrow two radios for better communication in case of emergency. Bill said he would investigate price, quality, battery life, etc.

Committee agreed to pay for Hut Handbook and felt that the troop

Might want to invest in the Goat Book and Ockpaik (cold weather camping handbook).

B. Activities: Tom Koch

Boreas Pass Snowshoe Hike: Boys paid $15.00 @ and troop will pay $39.00 for three adults.

Camp Alexander: 25 spots reserved for camp with 5 spots reserved for

High Adventure program.

Freezoree: Need to have scouts sign up to get an accurate count.

Cross Country Ski Hike: In February or March. One day event.

2nd Annual Winter Biathlon: (1/20/01 at Rifle Gap) $5.00 per person. One day activity including rifles and archery. Great parent/ child activity.

Troop 105: (2/10 – 2/11/01, Granby)- "Running of the Snowsnakes"

a. $25.00 for scouts and $35.00 for leaders

b. Events include a scout skills race (knots, first aid, lashing, etc.)

c. Runs in conjunction with Silver Creek Scout Ski & Sample Day

Participation Commitment Sheet: Tom feels we need to ask the boys

fill this out to determine interest and numbers for various activities. Committee felt that we did not have to participate in all of these events. Maybe include some of these in Annual Plan for next year.

Den 6: (Nancy’s group) would like to visit the troop on Feb. 26th

Parent Handbook: Tom would like all members to review handbook. He would like to have it ready for Crossover (April/ May).

C. Christmas Tree Sales: Ev Thomas for Travis Bennett

1. Gross Receipts $12,181.00

Expenses $ 6,450.00

Approximate Net $ 5,700.00

558 boy hours

Things that went well:

Advertising (at least twice, newspaper & radio)

Trailer was warm and lighted

Fencing (deterred any theft)

Parking (ample for customers)

Dan Johnson (TOP Salesman)

Sold out (trees and wreaths)

Signage

Time card system

Need to improve:

Have tree stands available for purchase

Inventory control (know exact # of trees)

Written procedures for record keeping/ accounting

Guest book (names and addresses of customers)

Signage prior to lot to give motorists advanced notice (need to ask Town)

Sales training for scouts

Too many kids just dropped off by parents

Add tree disposal as a service

Needed more of fantastic lodgepole trees

Needed more of the expensive trees (Balsams or Frasier furs)

Presales?

Need to start planning no later than May, 2001

Travis should be commended. He did a great job!

D. Advancement: Reid Cornwell

1. Need to review Salesmanship merit badge and see what requirements scouts may have earned

Hiking merit badge requirements being met during other activities or events.

Reid would like accurate information as to what troop activities contribute to advancement. He would also like to see learning and fun linked more often.

E. Equipment: Bill Marvin

1. Burners have strict regulations, need to adhere closely to them.

Inventory of trailer completed. Tents need to be sent to Cabelos for repairs, hose needs repair, and we are missing two tents.

Bill feels we need to develop and use a check out system for equipment.

Shelving: Bill will draw up plans. BBC offered to help with materials.

Committee wants to know what needs cleaning, what do we need for 2001, what is still at Snowbridge?

F. Treasurer’s Report: Kate Johnson

1. Checking Account $10,988.00

Savings Account $ 4,460.00

See attached financial statement.

Dues for 2001: $130.00 per scout. Boys crossing over in April/ May

will have $30.00 of dues applied to summer camp

Boys who do not pay are welcome to all meetings but may not attend

activities

Invoices will be provided monthly as long as a scout owes dues.

1. Recharter: Reid will generate recharter forms electronically. Boy and leader information must be correct. Quality Unit requires

$7.00 registration

$2.40 insurance

$9.00 Boys’ Life

$18.40 TOTAL w/ pins ~ $20.00 per boy

Next meeting will be held on Wednesday, February 7th, 2001 at 7:00 p.m.
